Privacy policy

b-media Comm.V.

This privacy policy explains how b-media Comm.V. ("we", "b-media") processes personal data when you visit our website or get in touch with us.

We care about your privacy and process your data in accordance with the General Data Protection Regulation (GDPR — Regulation (EU) 2016/679) and the Belgian Framework Act of 30 July 2018.

01Data controller

02What data do we collect?

  • Via the contact form: name, email address, phone number (optional), company name (optional) and the content of your message.
  • Via email, phone or other channels: the information you share with us yourself.
  • Via the website (technical): IP address (only temporarily for spam protection through rate limiting), session cookie for CSRF protection, and browser language preference.
  • Via Plausible Analytics: fully anonymised and aggregated visitor statistics (page views, referrer, device type, country). Plausible places no cookies and uses no personal data. No cross-site profile is built.

03Why do we process your data?

  • To handle your question or request (contact form, email, phone). Legal basis: legitimate interest (art. 6.1.f GDPR) or performance of a contract (art. 6.1.b) when you are or become a client.
  • To comply with legal obligations (invoicing, accounting, tax retention). Legal basis: legal obligation (art. 6.1.c GDPR).
  • To secure our website and block spam (honeypot, rate limiting). Legal basis: legitimate interest (art. 6.1.f GDPR).
  • To improve our website via anonymised analytics (Plausible). Legal basis: legitimate interest (art. 6.1.f GDPR), with no processing of personal data.

04How long do we keep your data?

  • Contact form messages: maximum 3 years after the last contact, unless you become a client — in which case for the duration of the commercial relationship and 10 additional years, in line with Belgian accounting obligations.
  • Invoicing and accounting data: 10 years (Belgian Code of Economic Law art. III.86).
  • Session cookies and rate-limit data: maximum 10 minutes after your last activity.
  • Analytics: Plausible retains aggregated figures indefinitely, but without personal data.

05Who do we share your data with?

  • We never sell your data to third parties. We only share it with the following processors, and only as far as necessary for the performance of our services:
  • MailerSend (EU/US) — for sending (transactional) email. Website: mailersend.com. Only processes the email content you send us.
  • Plausible Analytics (EU — hosted in Germany) — for anonymised visitor analytics. Website: plausible.io. Processes no personal data.
  • Combell NV (Belgium — data centre in Ghent) — for hosting our website and email mailboxes. Website: combell.com. Combell processes technical log files, visitor traffic and email content stored on our infrastructure. All data remains within the European Union.
  • Where data is processed outside the European Economic Area, we ensure appropriate safeguards (Standard Contractual Clauses from the European Commission).

06Cookies and similar technologies

  • We only use strictly necessary cookies and storage. No cookie banner is displayed because we place no tracking or marketing cookies.
  • b-media-session: session cookie for contact form security (CSRF protection). Expires after 2 hours of inactivity.
  • XSRF-TOKEN: Cross-Site Request Forgery protection cookie. Expires after 2 hours of inactivity.
  • theme: localStorage key that remembers whether you chose dark or light mode. Only set when you click the theme toggle.

07Your rights

  • Under the GDPR, you have the following rights, which you can exercise free of charge by emailing info@b-media.be:
  • Right of access — request which data we process about you.
  • Right to rectification — correct inaccurate or incomplete data.
  • Right to erasure ("right to be forgotten") — deletion of your data, subject to legal retention obligations.
  • Right to restriction — temporarily halt processing in specific cases.
  • Right to portability — receive your data in a structured, commonly used digital format.
  • Right to object — object to processing based on legitimate interest.
  • We respond to your request within 30 days. To verify your identity, we may ask for a copy of your ID card (with photo and national ID number redacted).
  • If you believe we do not process your data correctly, you have the right to lodge a complaint with the Belgian Data Protection Authority (APD/GBA): Rue de la Presse 35, 1000 Brussels, dataprotectionauthority.be.

08Security

  • We take appropriate technical and organisational measures to protect your data, including:
  • TLS/HTTPS encryption of all traffic between your browser and our servers.
  • Access control and strong authentication for all systems processing personal data.
  • Regular security updates of our infrastructure (Laravel, hosting, dependencies).
  • Encryption of sensitive data where appropriate (backups, email transport via TLS).
  • In case of a data breach with a risk to your rights and freedoms, we notify the APD within 72 hours and, where required, also inform you.

09Minors

  • Our services target B2B clients and are not intended for persons under 18 years old. We do not knowingly collect data from minors. If you believe we nevertheless hold data on a minor, please let us know so we can delete it.

10Changes to this policy

  • We may update this privacy policy when new services, processing activities or legal requirements make it necessary.
  • The date at the top of the page indicates the last change. Material changes are communicated via a notice on our website or by email to existing clients.
